Privacy Policy

Windiesel (“Windiesel,” “we,” “us”) provides fuel-route optimization and fleet operations tools for trucking companies. This policy explains what information the Windiesel mobile app and web app collect, how we use it, and who we share it with. The app is used by drivers and dispatchers of trucking companies that subscribe to Windiesel; accounts are issued by your company, not created in the app.

Information we collect

Account information. Your name, username, phone number, and the truck assigned to you. This is provided by your company’s dispatcher.
Content you upload. Rate-confirmation documents and photos you submit for fuel-plan extraction — in the app, on the web, or through your company’s connected Telegram dispatch chats. The app requests camera and photo-library access only for this purpose, and only when you choose to upload.
Operational data. Fuel stop check-ins, gallons purchased, cost, and related notes you enter.
Vehicle telematics. Vehicle location, fuel level, odometer, and safety events. This data comes from your fleet’s telematics provider (Samsara) on the server side.
Phone location. The app uses your phone’s location only at specific moments: when you check in at a fuel stop (to verify you’re at the station) and when you generate a plan for a truck without telematics (to start the route from where you are). It never tracks your location continuously or in the background.
Diagnostic data. Basic logs needed to operate and troubleshoot the service.

How we use information

Generate and deliver fuel-stop plans and route guidance.
Record fuel check-ins and calculate driver bonuses and safety scores.
Provide the service to your company’s dispatchers and operate the platform.
Maintain security, prevent abuse, and provide support.

How we share information

We do not sell your personal information. We share data only as needed to run the service:

Your company. Dispatchers and administrators at your trucking company can see operational data for their own fleet.
Service providers (processors) who process data on our behalf: Samsara (vehicle telematics), WEX (fuel-card pricing and transactions), OpenAI (parsing the documents you upload), HERE (mapping and routing), Telegram (dispatch-chat integration, when your company connects it), and our cloud hosting provider. These providers are bound to use the data only to deliver their service to us.
Legal. Where required by law or to protect rights and safety.

Data retention

Raw intake is short-lived by design: uploaded rate-confirmation files and dispatch message text are automatically deleted within 14 days, and your commercial terms — rates and broker details — are never extracted from documents in the first place. What remains is the operational record: computed fuel plans, check-ins, and savings history, kept for as long as your company maintains its account. When the account closes, we delete or anonymize its data within a reasonable period, unless a longer period is required by law.

Security

We protect data in transit and at rest using industry-standard measures and restrict access to authorized personnel. No method of transmission or storage is completely secure, but we work to safeguard your information.

Your choices and rights

You may request access to, correction of, or deletion of your personal information. Because accounts are managed by your company, please contact your dispatcher or email us at admin@windiesel.ai and we will work with your company to honor your request.

Children

Windiesel is a workplace tool for commercial drivers and is not directed to children. We do not knowingly collect information from anyone under 18.

Changes to this policy

We may update this policy from time to time. We will post the updated version here and revise the effective date above.
